So what kind of details are we looking for when it comes to installing submeters or utility billing?
The first bit of information we will need is details about the property itself. We have properties that we submeter across 46 states (including Hawaii and Washington D.C.)! That is almost a guarantee that we submeter properties in your area, and we are ready and able to serve you! We will need to know what kind of property you are managing, if it is an apartment, condo, office, marina, etc, and if it is one or multiple properties. We will also need to know their occupancy status and your vacancy recovery needs, as well as the number of units and the type of units (e.g. studio, 1 bedroom).
Next, we will need to know the kinds of utility services you need on your property. We can provide submetering and billing services for water, gas, and electricity, so make sure to include what kind of utilities you want serviced and whether you need submetering, billing, or both. Describe for us the existing infrastructure of your property, whether it is a single master meter or if there are multiple on the premises. And if you would like to include our billing services, let us know how frequently you would like to be billed.
We will need to know your submetering system requirements, if you do in fact need submeters and not just our billing services. Clarify if there are meters already installed on the property or if they need to be, and if you have the information, we will need to know how old the meters are, as technology is changing rapidly in this field, and we want to make sure we use the correct systems on your existing ones. Speaking of technology, if you have a preference about what kind of system (wireless, remote-read, or manual-read) you have, include that in your proposal. We can discuss with you any integration needs and compatibility issues we may run into during our initial talks with this information.
Getting into the nitty-gritty details of the system, our team will need to know what kind of resident billing format you require, whether that is a paper bill, a digital one, or if residents of your property have an online portal where they pay their bills. Since submetering bills residents based on the individual spaces rather than on one lump sum based on the entire building, this information is crucial so we can ensure your residents are billed accurately and fairly. We will also need to know whether you want Guardian to bill vacant units to the owners of the property. If there are any local rules or concerns you are aware of, please share those with us, and we can pool that with our knowledge of the state compliance concerns, so everything is up to code and passes all inspections.
Finally, we will need to know your expectations for maintenance and repairs to the submeters, including for meter service. We average 10 days at Guardian Water and Power, but we can work with you if we know ahead of time if that is too long for you to wait. We will need to know what kind of reporting needs you may have, including usage summaries, collection rates, and analytics.
